Notification Overview: What Does Each Setting Control?

Control what Heartbeat sends you - and your members - from Settings > Notifications β†’

This article covers every notification setting: what triggers it, who sees it, and what the options are.

Member notification settings

These settings are available to every member, including admins. They control the emails you receive as a member of a community.

Event emails

Controls emails about events in channels you have access to. One setting, multiple email types:

  • New event – sent when an event is created. 
    • Subject: "New Event from [Community Name]: [Event Name]"
    • Members who join after the event was created receive this with the subject "Upcoming Event from [Community Name]: [Event Name]".
  • Event update – sent when the time, location, or key details change. 
    • Subject: "Update for [Event Name]".
  • Event cancellation – sent when an event is cancelled. 
    • Subject: "Event canceled: [Event Name]" (or "Event canceled: [Event Name] @ [Date]" for a single instance of a recurring event).
  • RSVP confirmation – sent when you RSVP to an event. 
    • Subject: "RSVP confirmed for [Event Name]".
Option What happens
All You receive event emails for every event you have access to
Only after RSVPing You only receive update and cancellation emails for events you've RSVP'd "Going" or "Maybe" to. New event announcements are not sent.
None No event emails

This setting does not affect event reminders or post-event feedback emails - those have their own settings below.


Event reminders

Controls reminder emails sent before an event starts. Subject: "Reminder: [Event Name]".

The event creator sets how far in advance reminders go out (e.g. 30 minutes, 2 hours, 1 day before). A single event can have multiple reminders at different intervals.

Reminders also trigger a push notification on mobile when an event is less than 24 hours away.


Event feedback

Controls the post-event feedback email sent to attendees 30 minutes after an event's scheduled end time. It includes a link to a feedback form for that event.

A separate notification is sent to the event creator 24 hours after feedback starts coming in, letting them know responses are available. Feedback emails are only sent for single (non-recurring) events.


Weekly digest

A weekly summary of activity in your community. Subject: "Last week in [Community Name]".

The digest includes:

  • Top threads (up to 3)
  • New documents (up to 3)
  • Past events (up to 3)
  • Upcoming events (up to 10)
  • Unread mentions and DMs (up to 3)
  • New members (up to 3)
  • Matchmaking results (if applicable)
Option What happens
On You receive the weekly digest
Off No digest emails

Members only see content from channels and sections they have access to. The digest goes out no more than once every 5 days and only if there's content to share. The day and time it's sent is set by the community admin. Admins can disable the weekly digest for their entire community from Settings General. If it's turned off at the community level, individual member settings have no effect.


Unread DMs & mentions

If someone sends you a direct message or @mentions you - in a post, comment, or chat channel - and you haven't seen it within 4 hours, Heartbeat sends you an email.

The email header reflects the context:

  • "You received a DM"
  • "You were mentioned in a DM"
  • "You were mentioned in a thread"
  • "You were mentioned in a message"
  • "You were mentioned in a comment"

If you belong to multiple communities, the header includes the community name.

Option What happens
On You receive email alerts for unread DMs and mentions after 4 hours
Off No emails for unread messages

A few things to know:

  • If you read the message within 4 hours (in the app, on mobile, or desktop), no email is sent.
  • Multiple messages in the same DM conversation are grouped into a single email.
  • Each @mention generates its own notification.
  • If you've muted a user, you won't receive DM emails from them.

Admin notification settings

These settings are only visible to community admins and managers. They control emails about member activity - new signups, purchases, cancellations, and departures.

Member purchase

Sends an email (and push notification) when a member makes a purchase.

Triggers:

  • A member buys access to a paid group
  • A member purchases an event ticket
  • A member joins a paid waitlist

The email includes the member's name, what they purchased, a link to the offer details, and a link to their Stripe customer record. This only fires for new purchases - not for subscription reactivations or renewals.

Push notification title: "New Sale!"


Member cancellation

Sends an email when a member cancels a subscription.

Triggers:

  • A member cancels their subscription to a paid group or offer

The email includes the member's name, the product they cancelled, when access ends, what happens after (group removal or community-wide paywall), a link to their profile, and a link to cancellation survey responses (if your offer has a cancellation survey enabled).

Push notification title: "A subscriber canceled"

This does not fire when an admin removes a member or cancels on their behalf - only when the member cancels themselves.


Member join

Sends an email when a new member completes onboarding and joins your community.

The email includes the new member's name, bio, and profile picture, plus a link to their profile.

Push notification: "[Name] joined the community!"


Member leave

Sends an email when a member leaves your community.

Triggers:

  • A member voluntarily leaves the community
  • A member deletes their account

The email includes the member's name and profile picture. For voluntary departures, it includes a link to your member management settings. For account deletions, it's a simpler notification (the account no longer exists).

Push notification: "[Name] left the community"

This does not fire when an admin removes a member - only when the member leaves or deletes their account on their own.


Reducing email noise for your members

If you want to keep member inboxes clean, these are the most effective levers:

Weekly Digest – The highest-volume recurring email. You can disable it entirely at the community level from Settings > General. Members can also opt out individually.

Event emails and reminders – For communities with frequent events, encourage members to switch to Only after RSVPing so they only hear about events they're committed to attending.

Unread DMs & mentions – Useful for members who don't check the app regularly. Members who do can safely turn it off.

Default settings for new members – Go to Settings > Notifications and open the Default Member Settings tab to configure what's on or off for new signups. This is the most effective way to reduce noise at scale.

Channel muting – Members can mute specific channels they're not interested in. Worth mentioning to your community if you have high-traffic channels.


Emails not controlled by notification settings

Some emails are transactional and can't be turned off through these settings:

  • Login emails – Magic links and verification codes
  • Invitation emails – Community invites sent by admins or members
  • Admin broadcast emails – Emails sent directly by your community admin
  • Pending member follow-ups – Automated emails to members who haven't completed onboarding (controlled by admins in community settings)
  • Waitlist emails – Status updates about waitlist position
