How to Set Up Automated Welcome Emails for Your Community

Want to make new members feel at home and guide them toward value quickly? Heartbeat makes it easy to send a sequence of automated welcome emails using Workflows.

Step-by-Step: Set Up Your Welcome Email Sequence

  1. Go to SettingsWorkflows

  2. Click Create Workflow

  3. Use the “Send a welcome email sequence to new members” template

 

This loads a prebuilt sequence of emails:

  • Email 1: Sent ~5 minutes after a member joins

  • Email 2: Sent 1 day later

  • Email 3: Sent 2 days later

Each email can guide members toward:

  • High-value channels

  • Upcoming events

  • Course content

  • Helpful documents and tutorials

Customize the Experience

You can add even more actions to your workflow:

  • Additional emails

  • Direct messages

  • In-app popups

Think in milestones — what should a member do by day 1, day 3, and day 7? Use email nudges to help them get there.

Final Steps

  • Replace any placeholder text in the email templates

  • Click Save to activate the workflow

  • Heartbeat will now auto-trigger the sequence for every new member

Once saved, you’ll see how many runs the workflow has completed — so you can track engagement over time.
