Folders and organizing your Resources

A Resource holds documents, but once you get enough of them into a single resource, a Folder will be the best to group and organize content.

The structure

Resource → Folder → Document. One level of folders, and that is the whole hierarchy. There are no sub-folders and no documents nested inside other documents.

You do not need a folder to get started, and in fact, the only way to create a new folder is by clicking the 3-dot menu on existing Documents inside of your Resource that are not yet organized in Folders.

Creating a folder

Folders are created from the three-dot menu at the top of any document if you have no Folders on your Resource yet. The steps are:

  1. Open any document in the Resource.
  2. Click the three-dot menu at the top.
  3. Click New folder.
  4. Give it a Name. Required.
  5. Add a Description if you want one. Optional.
  6. Choose a Folder type. Required.
  7. Click Create.

When you want to add more folders to your Resource, click the folder dropdown on the top left side and select +New folder:

Thumbnails

Resources and folders both show as cards, and each card can carry an image. There is no thumbnail field when you create a folder. To add it, open the three-dot menu, choose Edit, and use Upload thumbnail.

Without one the card falls back to a plain icon.

Ordering

Documents can be reordered by dragging. Hover over one in the sidebar and a handle appears on the right, shown as two columns of dots. Drag it up or down to reorder it, or onto a different folder in the same Resource to move it there:

Folders themselves cannot be dragged or reordered, and neither can Resources on the Resources page.

Order matters more than it used to. On a public Resource the first document is what a stranger reads first, and it is doing the work of a landing page, so put the thing that proves the Resource is worth their time at the top rather than a table of contents.

Moving documents

Open the document, click the three-dot menu at the top right of a Document, and select Move. This is how you send a document to a different Resource or Folder.

Moving a document to a different Resource changes who can see it, because access belongs to the Resource. 

Frequently asked questions

What happened to my nested documents?
Deeper nesting was flattened during the migration from Docs to Reosurces. Content nested more than one level deep was moved up, and standalone pages that only existed to hold child pages were removed.

Can I have sub-folders?
No.

Can I move a folder to a different Resource?
No. A folder's menu has no Move. Move its documents one at a time with Move in each document's three-dot menu, or make the folder again where you want it.

Can I reorder my folders?
No. Only documents can be dragged.

Can I drag a document into a different folder?
Yes, within the same Resource. To send it to a different Resource, use Move in its three-dot menu.

Do folders have their own access settings?
No. Access is set on the Resource.
