Managing and Customizing Offers

Heartbeat allows community managers to create customized offers for members, making it easy to set up paid or freemium memberships, digital products, bundles, and more. Let’s go through the steps to help you set up and manage these offers effectively.

Accessing the Offers Section

From your Heartbeat admin dashboard, navigate to Payments > Offers in the left sidebar.

Offer Type

This column categorizes the type of offer you’ve created. Heartbeat supports multiple types of offers to cater to different needs:

  • Tiers: These are multi-level membership offers with various access groups.

  • Digital Product: One-time purchase offers, such as a course or downloadable resource, allowing members to make a single payment to access specific content or products.

  • Bundle: This combines several offers into one. Bundles are effective for promoting limited-time offers or special deals.

Each type allows you to control access and set pricing to suit your business model, whether subscription-based, one-time purchases or special promotions.

Purchases

This column provides insight into each offer's number of active and total purchases.

  • Active Purchases: This shows how many members currently have an active subscription or access to this offer. This metric helps you track how many users consistently engage with a specific membership level or product.

  • Total Purchases: Reflects the cumulative number of times this offer has been purchased. This includes members who might no longer be active but have purchased in the past.

Revenue

The revenue column displays the earnings generated by each offer, providing both monthly and total revenue figures.

  • Monthly Revenue: This shows the monthly recurring revenue generated, especially relevant for tiered memberships or other subscription-based models.

  • Total Revenue: The cumulative revenue generated from the offer since its launch is useful for tracking long-term financial success.

Status

The status of an offer indicates whether it is Published or Archived.

  • Published: The offer is live and accessible to potential members. Users can see it on your community platform, sign up, and make purchases.

  • Archived: The offer is no longer visible to new members, but existing members who have already purchased or subscribed can still access it. Archiving is a good option for temporarily removing offers you don’t wish to promote without completely deleting them.

The status column allows you to manage visibility for different offers, giving you control over what members see in real-time.


Creating a New Offer

To create a new offer:

  1. Click the + Create Offer button in the top-right corner.

  2. Choose the type of offer you want to create (e.g., Paid Membership, Freemium Membership, Digital Product, Offer Bundle).

  3. Define the offer's details, including pricing tiers, access groups, and any time limits (such as temporary access or time-sensitive discounts).

Setting Up Pricing and Access Groups

When you edit or create an offer, you can set up pricing tiers and assign them to specific access groups. These groups control which members can access the content or benefits of that offer.

You can also set a default access group, which will apply if members don’t select a specific tier. This is useful for guiding new members to a primary membership level.


Sign Up Pages for Offers

Each offer has its own sign-up pages tailored to different audiences or marketing strategies.

To access these links:

  1. Go to the "Sign Up Pages" section for each offer.

  2. Copy the desired link by clicking the Copy Link next to the relevant page.

This customization makes it easy to provide targeted access based on the member’s needs and your promotional strategy.


Adding Members Directly to an Offer

You can manually add existing members to an offer, granting them access without requiring them to go through the typical sign-up flow.

To add members:

  1. Click the + Add Members button within the offer settings.

  2. Select the members you want to add.

  3. You can also provide an Exemption if you want to bypass the paywall for certain users.

This is useful for granting access to team members, moderators, or loyal community members who receive perks or exclusive access.


Insights and Tracking Performance

Each offer page provides valuable insights, including:

  • Active Members and Revenue: Track the number of members currently subscribed or who have made a purchase.

  • Retention and Boosted Revenue: See how many members have been saved through upsells or in-community promotions.

This data allows you to analyze the effectiveness of each offer and make adjustments as needed.
