How do I refund a member in Heartbeat?

  • Updated
A refund returns the money. It doesn't cancel the member's subscription or remove their access, so handle that separately in Offers as shown below. The one exception is a Resource sold on its own, which the member loses access to after a full refund.

How to issue a refund

  1. Go to Settings > Revenue > Transactions and find the transaction.
  2. Open the 3-dot menu on that row.
  3. Select Refund and confirm.
  4. Then, press Begin Refund.
  5. On the next step, select your refund amount (total or partial). You can optionally select a reason and leave a comment.

The member sees the refund as a credit roughly 5–10 business days later, depending on their bank. The transaction will now be listed as "Refunded":

Removing access after a refund

Go to Settings > Revenue > Offers, open the Offer and find the member on the Active tab. Open the 3-dot menu next to them:

  • Subscription: select Cancel, then Cancel Immediately or Cancel at Period End.
  • One-time purchase: select Remove and confirm. The member leaves the Offer's group and drops off the Offer's list, since one-time purchases have no cancelled status.

If a Sign Up Link also added the member to other groups, remove those with Manage Groups on their profile. The Offer's own group shows "Active purchase" there and can't be removed until you've removed the purchase.
