Heartbeat Recipe: How to Offer 1:1 Sessions in Your Community

Offering 1:1 sessions is a great way to provide personalized support and add value for your community members, especially for your VIP or premium tiers. This guide covers how you can schedule and manage 1:1 sessions with your members right inside Heartbeat.

Option 1: Using Heartbeat Events

Heartbeat's built-in Events feature allows you to create and manage 1:1 sessions directly within your community platform. You will need to discuss timing with your clients, but for regularly scheduled appointment, this will be super easy. 

Setting Up 1:1 Sessions with Events

  1. Create a new event in your community
  2. Set the recurring schedule along with any necessary details
  3. Add only the person you will have a 1:1 session with to the event

Option 2: Using an External Booking System

If you prefer using a tool that allows clients to pick their own times, you can set this up using an external scheduling tool, like Calendly or Acuity. While it does take people off of Heartbeat, once you set it up, you can make it seamlessly work with workflows and integrate it directly into your offers.

Step 1: Set Up Your Sessions in Your Calendar Tool

First, configure your 1:1 sessions in your preferred scheduling platform:

  • Create events for your 1:1 sessions
  • Configure your available times
  • Set up any necessary intake questions or booking requirements

Step 2: Share Your Calendar Link Using Workflows

Once your external calendar is set up, you can automatically share it with the right members using Heartbeat's Workflows:

  1. Create a dedicated group for members with 1:1 access and use this group to inside your membership tier offer
  2. Set up a Workflow to automatically introduce your calendar link

    • Create a workflow that triggers when someone joins your premium group
    • Choose a DM as the action that comes from you personally
    • Include your booking link in the message
    • Explain how they can schedule their sessions
    • Specify how many sessions are included in their package or membership
