Can I delete an Offer? How archiving works in Heartbeat

Offers that have had at least one member attached to them can't be deleted – they can only be archived. This article explains why, what archiving does, and what to do if your goal is to remove members instead.

Why Offers can't be deleted

Once a member has interacted with an Offer in any way – an active purchase, a free trial, a pending sign up, or any purchase history connected to the Offer in Stripe – that Offer can never be deleted. This keeps your revenue records and your members' billing history intact.

This also means you can't delete an Offer as a way to remove its members. Removing all members from an Offer doesn't make it deletable either – the purchase history remains.

If an Offer has never had a member attached, removing it deletes it permanently instead of archiving it.

What happens when you archive an Offer

Archiving an Offer disables its sign-up pages and hides it from new members. Existing subscribers keep their access and their subscriptions.

Specifically:

  • Its Sign Up Links stop accepting new members – anyone who visits one will see that the Offer is no longer available
  • It's hidden from your Offers list under the Archived filter
  • Active subscriptions continue – members keep their access and keep being billed
  • No members are removed and no Access Groups are deleted
  • Nothing changes in Stripe

Archiving is fully reversible – you can unarchive the Offer at any time and it becomes available to new members again.

How to view and unarchive archived Offers

  1. Go to Settings > Revenue > Offers
  2. Click the dropdown at the top of the list – Active is selected by default
  3. Select Archived to see your archived Offers
  4. Open the Offer's 3-dot menu and unarchive it to make it available again

This works the same way as the Members list, where you use the dropdown to switch between member states like Active and Pending.

If I remove all members from an Offer, can I delete it then?

No. Any purchase history connected to the Offer in Stripe means it can only ever be archived, even if no members are currently attached to it.

Does archiving cancel my members' subscriptions?

No. Existing subscribers keep their access and continue to be billed. To end a member's subscription, cancel it from their purchase – see What happens when someone cancels a subscription?

What do new members see if they visit an archived Offer's Sign Up Link?

The Sign Up Link isn't deleted – the page simply indicates that the Offer is no longer available
